In what situations do I need a copying licence?

Many companies utilise online materials and printed products protected by copyright law. For work-related use, you always need the copyright holder’s authorisation to be able to copy and distribute or store them in digital format. You can request permission directly from the authors and publishers of the materials or procure a copying licence from Kopiosto. A company’s copying licence allows for the legal use of materials internally in the following cases, for example:

  • The company’s employees copy and paste copyrighted texts and images into their own documents and presentation materials.
  • An article is saved from the internet to a smartphone, tablet, computer or company server for work purposes.
  • Newspaper articles are shared digitally with colleagues via email, intranet or Teams, for example.
  • Copyrighted texts and images are copied into presentations that are shown in the company’s internal online meetings.
  • Photos or drawings are included in a PowerPoint presentation used within the company.
  • Research reports downloaded from the internet are printed for work-related use and later reading by those who downloaded them.
  • A compilation of newspaper articles on an interesting topic is shared with colleagues.

If you need permission to use materials in your company’s external communications, you should ask for it directly from the authors and publishers.

Licence for training and consulting activities

If your company provides training or consulting services to customers or other external parties, you can obtain a separate training and consulting licence in addition to the company’s copying licence. With a training and consulting licence, you can photocopy excerpts from various types of publications or print copyrighted materials from digital sources. Acquiring a licence

You can conveniently purchase continuous or fixed-term licences through our licence store. You can purchase licences for all group companies in the same order. In this case, the business ID and each company’s number of officers or employees are added to the order.

A licence is always purchased for the entire organisation and applies to all company employees, even when the licence is invoiced based on the number of officers. You can add a training and consulting licence for only the companies that need it. The entire order is charged for with one invoice, and the validity of the licences is the same for all companies. You can manage your own information later by logging in to the licence store with your credentials.

The most effortless and affordable way of acquiring a licence is to purchase a continuous subscription that will remain valid until further notice. This ensures that your licence will automatically continue one calendar year at a time. Once the licence period has changed, you can update the licence through our licence store if necessary. The licence will remain in effect unless changes are made to it.

A fixed-term licence will remain valid for one calendar year. When the licence ends, you can order a new licence through our licence service by giving the information requested.

A licence that is valid until further notice must be updated between 1 November and 31 January, if

  • the company’s size category changes (the categories are 1–10, 11–30, 31–50 or more than 50 employees/officers)
  • the licence has been acquired for a specific number of people exceeding 50 people, and the number of people in the company changes by more than 20 people from the previously reported number (number of employees or officers, depending on the industry).

If the company’s size category does not change or changes by less than 20 people, the licence will automatically continue as it is, covering the entire personnel.
