The copying licence enables your company’s staff to copy and attach text or images to their own documents or presentations, or save and share articles among colleagues in Teams, for example. In what situations do I need a copying licence?

Many companies utilise online materials and printed products protected by copyright law. For work-related use, you always need the copyright holder’s authorisation to be able to copy and distribute or store such materials in digital format. You can request permission directly from the authors and publishers of the materials or procure a copying licence from Kopiosto. The copying licence for companies allows for the legal use of materials internally in the following cases, for example:

  • The company’s employees copy and paste copyrighted text and images into their own documents and presentation materials.
  • The company’s employees save articles from the internet onto a smartphone, tablet, computer or company server for work purposes.
  • The company’s employees share newspaper and magazine articles with their colleagues digitally via email, intranet, Teams or a similar platform, for example.
  • The company’s employees copy copyrighted text and images into presentations shown in the company’s internal online meetings.
  • The company’s employees include photos or drawings in PowerPoint presentations used within the company.
  • The company’s employees print out research reports downloaded from the internet for work-related use and later reading.
  • The company’s employees share compilations of newspaper and magazine articles on an interesting topic with their colleagues.
  • The company’s employees enter copyrighted text and images, or parts thereof, as prompts into the company’s closed AI application in order to generate summaries or translations or search for information and plan their own work, for instance.

If you need permission to use materials in your company’s external communications, you should ask for it directly from the authors and publishers.

Additional licences for consulting activities, training and course activities, and fine-tuning AI

The additional licences that supplement our revised copying licence provide new opportunities to use copyrighted material. All of the licences allow you to include excerpts and images from publications in your own materials, as long as you remember to identify the author and source, and mention that you have a Kopiosto licence.

The additional licence for consulting activities is intended for companies that provide expert services to their clients. This licence allows you to include images and text excerpts in slideshows that you use for consultation sessions or tenders. You may present such slideshows to the participants of a consultation session in person or via a remote connection and distribute them to the participants of a consultation session or the tendering phase of consulting services, as well as partners and subcontractors of the consulting services. The additional licence for training and course activities is well-suited for companies and organisers of training and course activities when no ready-made training materials are available. The licence allows you to include materials in your own training materials, distribute them to a training group and use them in remote, hybrid and online training. With the additional licence for fine-tuning a company’s internal AI, the company may use text and image materials to fine-tune an AI program intended for internal use within the company. Fine-tuning means adapting an AI model for internal use within an organisation. Please note that you may only use materials to which the organisation has legal access, and you may not share a fine-tuned program outside the organisation. Acquiring a licence

You can conveniently purchase continuous or fixed-term licences through our licence store. You can purchase licences for all group companies in the same order. In this case, add the business ID and number of officers or employees for each company to the order.

A licence is always purchased for the entire organisation, and it applies to all company employees, even when the licence is invoiced based on the number of officers. The entire order is charged for through one invoice, and the validity of the licences is the same for all companies. You can manage your own information later by logging in to the licence store with your credentials.

The most effortless and affordable way of acquiring a licence is to purchase a continuous subscription that will remain valid until further notice. This ensures that your licence will automatically continue one calendar year at a time. Once the licence period has changed, you can update the licence through our licence store if necessary. The licence will remain in effect unless changes are made to it.

A fixed-term licence will remain valid for one calendar year, and it is for sale for the last time for 2026. Once the licence ends, you can order a continuous licence through our licence store.

A licence that is valid until further notice must be updated between 1 November and 31 January, if

  • the company’s size category changes (the categories are 1–10, 11–30, 31–50 or more than 50 employees/officers)
  • the licence has been acquired for a specific number of people exceeding 50 people, and the number of people in the company changes by more than 20 people from the previously reported number (number of employees or officers, depending on the industry).

If the company’s size category does not change or changes by less than 20 people, the licence will automatically continue as it is, covering the entire personnel.
