What am I allowed to copy?
Our copying licence allows you to photocopy, print, scan or digitally copy:
- articles from newspapers and magazines and excerpts from books, reports and other printed publications
- printed sheet music and song lyrics
- excerpts from e-books to which you have contractual or subscription-based access
- images and text from the internet.
How much may I copy?
You may copy materials for your company’s staff as follows:
| SOURCE MATERIAL | AMOUNT |
|---|---|
| Publications and e-books | A maximum of 20 pages of a publication; however, no more than 50% of a publication. |
| Websites | 20 images or A4-sized pages per website. |
| Magazines and newspapers | A full article; however, no more than 50% of the edited content of a newspaper or magazine. |
| Printed standards and publications containing them | A maximum of 20% of a publication; however, no more than 20 pages. |
| Printed sheet music and song lyrics | A maximum of 10 pages of a publication; however, no more than 50% of a publication. |
If you copy an image, article or similar on a single page of a website or publication, this is equivalent to copying one page.
You may make the necessary number of copies of the same materials to take care of the task in question, up to 500 copies. For more extensive copying, you must enter into a separate agreement with Kopiosto.
For what purposes may I make copies?
You may use copies as they are or attach them to material you have made for internal use within your company. Internal use within the company means internal administrative activities within the company, such as internal communications, research and preparation, as well as training activities for the company’s own staff.
Additionally, you may use copies as prompts in the company’s closed AI application.
Our copying licence allows you to:
- distribute copies to your company’s staff as paper copies, printouts and by email
- attach images, articles and other excerpts of texts to your own presentation, internal memo or other materials you have prepared for internal use within your company
- compile articles from newspapers and magazines for your company’s internal communications and use
- store copies and article compilations that you have prepared for one year in a closed network of your company, where they are accessible only to your company’s staff
- show copies and article compilations that you have prepared at events organised by the company for its staff.
Remember to provide the information on the author and source on the copy or in connection to it in a manner required by proper usage. If you have included content from multiple publications or websites in your material or article compilation, enter the information on the author and source for all copied content.
With our copying licence, you may also photocopy, print and scan printed sheet music and song lyrics. You may use copies:
- at events organised by the company for its staff or for other internal use, for example by handing out paper copies of sheet music and song lyrics or projecting them for the staff present
- as prompts in your organisation’s closed AI application.
You may not use the copied sheet music in other public performances or preparation for such performances.
Under our copying licence, you are not allowed to copy choir, band and orchestral sheet music at all.
You may copy a work or publication to the extent necessary for the specific purpose and use the copies as prompts in an AI application intended for internal use within the company. Read in more detail what is meant by an AI application used internally by an organisation [insert a link to the Q&A question “What is considered to be an AI application used internally by an organisation?”]
You may only use the output generated with the AI application for internal use within your company in the same way as any other copies you make with our licence.
In your output or in connection to it, remember to provide the information of the authors and sources for any publications or images and text content you have copied from websites for use in your prompt in a manner required by proper usage.
- You must report the contents of any digital article compilations you have made under this licence to Kopiosto by sending a copy of the article compilation by email to raportointi@kopiosto.fi.
- You can also report other copies you have made in Kopiosto’s reporting service: www.kopiosto.fi/raportointi. Kopiosto uses the reported information to distribute remunerations to copyright holders.
